Position Overview:

The Reservations Manager will oversee and coordinate the day-to-day function of the Reservations department and reports to the Chief Financial Officer. Key responsibilities in this position include providing a 5-star customer service experience for our Members and their guests, managing reservations for our Club cottages, and supervising the Reservations team members. This position requires a positive focus in a fast-paced environment and the ability to evaluate and make decisions with a sense of urgency. Although our season runs from May through October, as a Year-Round employee this position will assist the team in providing a 5-star experience for our Members through private parties, catering events, and cottage stays throughout the off-season. 

Position Responsibilities:

  • Operate the Reservations department to 5-star standards, including operating procedures and coordination with all departments.
  • Collaborate and provide support to the Concierge to provide a seamless, first-class Member experience.
  • Hire and train all Reservations personnel in every aspect of Member/guest relations including telephone etiquette, Club knowledge, and cottage reservation procedures. 
  • Schedule the Reservations staff and supervise the staff workload pertaining to reservations, registering guests, assigning rooms, and routing internal and external calls during shifts.
  • Supervise the preparation, maintenance, and distribution of the daily arrival, departure, in-house and Night Audit reports.
  • Ensure that the Reservations staff work closely with the Transportation Department to provide updated information when scheduling Member requests. Communicate all additions and changes to the Transportation Team and monitor the daily log for complete and accurate information.
  • Oversee final preparations prior to the arrival of groups, continually monitoring the success of each event throughout the visit.
  • Maintain the Club Boardroom standards and ensure that the room is prepared for meetings.
  • Manage the preparation for cottage room meetings. 
  • Supervise the handling of the front desk cash drawer, provide basic cash services for Members, and complete the daily balancing at the beginning and end of each shift.
  • Responsible for the proper distribution of all cottage keys.
  • Support Department Managers in their use of the room module within the Northstar software, allowing other departments to gather data independently for future occupancy forecasts.
  • Conduct necessary meetings with Reservations staff to communicate procedures, Club event details, and any other relevant Club information. 
  • Develop the Reservations department operating budget and take action to ensure that budget goals are attained.
  • Additional tasks and projects as directed.

Requirements

  • Bachelor’s or college degree with emphasis in hospitality or hotel management preferred.
  • 3 years of professional experience in a management position with direct reports in a professional business or hospitality setting. 
  • Resort or Hotel Front Office/Reservations experience is preferred. 
  • Previous customer service experience in a customer-facing role and exceptional customer service skills. 
  • Previous experience in leading and supervising a team of direct reports with a team-oriented approach and collaborative management style. 
  • Excellent communication skills, both verbal and written. 
  • Working knowledge in a Reservations management system (i.e. Northstar).
  • The ability to foster positive relationships with a welcoming demeanor and enhance the overall Member experience.
  • Strong work ethic and attention to detail.
